JOB DESCRIPTION
Summary/Objective
The Team Lead Mortgage Processing & Closing is responsible for overseeing the daily operations of both mortgage processing and closing functions. This role ensures timely, accurate, and compliant handling of mortgage files from application through funding. The Team Lead serves as a subject matter expert, provides guidance and support to processors and closers, and acts as a liaison between internal departments and external stakeholders to ensure a seamless mortgage experience.

Leadership & Oversight
- Provide daily direction and support to Mortgage Processors and Closers.
- Monitor pipeline to ensure timely processing and closing of loans.
- Serve as escalation point for complex files or issues.
- Conduct regular file audits to ensure compliance and quality.
- Train new team members and provide ongoing coaching and development.
Processing Responsibilities
- Oversee document collection, disclosure preparation, and file completeness.
- Ensure TRID compliance in all disclosures.
- Review AUS findings and ensure proper documentation of income, assets, and credit.
- Order and review title reports, flood certifications, verifications, and appraisals.
- Submit complete files to underwriting and follow up on conditions.
Closing Responsibilities
- Coordinate closing schedules with attorneys, borrowers, and loan originators.
- Prepare Closing Disclosures and full closing packages.
- Submit files for Quality Control review prior to funding.
- Fund loans and coordinate wire transfers.
- Prepare loans for booking and investor delivery.
Customer Service & Communication
- Act as primary contact for escalated borrower, originator, and attorney inquiries.
- Ensure all calls and emails are returned within one business day.
- Provide status updates and proactive communication throughout the loan lifecycle.
Compliance & File Management
- Ensure all files meet regulatory and internal policy requirements.
- Maintain data integrity in the Document Imaging and Loan Origination Systems.
- Protect customer privacy and ensure secure handling of sensitive information.
Administrative Support
- Prepare denial, withdrawal, and cancellation letters as needed.
- Participate in system and process improvement initiatives.
- Assist with investor delivery and loan purchasing requirements.
Other Duties

Skills/Abilities
- Advanced knowledge of mortgage loan products (FHA, VA, Conventional, USDA, In-House).
- Strong understanding of TRID, RESPA, and other regulatory guidelines.
- Proficiency in AUS systems, MS Word, Excel, Outlook.
- Excellent communication, organization, and problem-solving skills.
- Ability to lead and mentor a team effectively.
- Bi-lingual (Spanish) preferred.
Supervisory Responsibility
This position does not have supervisory responsibilities.
Work Environment
This job operates in an office setting, the opportunity to telework is not available. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Office environment with job duties conducted via telephone, face to face meetings, and on the computer.
Physical Demands
This position requires manual dexterity, the ability to lift files and open cabinets. This position requires bending, stooping or standing as necessary.
Travel
Limited local travel may be required for this position.
Education and Experience
- Associate's Degree required, bachelor's degree preferred.
- Minimum 5 years of experience in mortgage processing and/or closing. Understanding of all mortgage loan products (FHA/VA/CONV/USDA/ In-House) and knowledge of mortgage procedures, processes and documentation requirements is preferred.
- Knowledge and experience using AUS (Automated Underwriting System), MS Word, Excel, Outlook is preferred.
- Knowledge of basic accounting processes and procedures is preferred.
